Processing of personal data

Responsibility
EQuiCIBUS AB, organization number 559188-4415, Box 2005, 220 02 Lund (hereinafter “EQuiCIBUS”) is subject to the provisions of the EU’s new data protection regulation and is responsible for the data collected and processed about you as a customer.

Personal data may be disclosed to other companies within the group or to companies that the group cooperates with, such as forwarding companies, for the purposes stated below.

Basic principles
EQuiCIBUS is committed to respecting and protecting your personal data and your personal privacy in accordance with applicable legislation, industry regulations and other relevant standards. To better understand how we treat information about you, we present below our basic principles for processing personal data.

Collection and processing of information – purpose and legal basis
EQuiCIBUS only processes the personal data about you that is necessary to fulfill the purposes of the processing.

To fulfill, or be able to enter into, an agreement with you as a customer
EQuiCIBUS collects and stores the personal data you provide to us:

  • in connection with submission of an item for auction or sale,
  • when you create an account on our website to be able to bid or make direct purchases
  • and in cases where other related agreements (such as for valuation services) are to be concluded.

They are processed so that we can fulfill these agreements entered into with you as a customer and may in some cases (such as in agreements to send an item via an external forwarder) be disclosed to third parties.

To fulfill a legal obligation
In order for EQuiCIBUS to fulfill its legal obligation in accordance with the E-commerce Act (2002:562), information about your social security number or date of birth, as well as verifying information (such as a copy of identity document) is collected when you submit an item for sale.

The personal data and bank account information you provide to us in connection with the sale of an item is stored in our financial system in accordance with the Accounting Act (1999:1078) and for us to be able to make payments to your bank account after a completed sale.

EQuiCIBUS cooperates with police authorities in the United States and may, if legally required, disclose information to relevant authorities.

Based on the principle of balancing of interests
The e-mail address you provide to us when registering a user account on our website, or alternatively provide as contact information when submitting feed/bedding products for sale, is used to be able to send important information, including changes in our terms and conditions, invitations to special events and to reasonably confirm your identity when contacting our customer service.

For statistics and business development purposes, anonymized and aggregated information is used, where year of birth (from social security number), gender (from social security number), and postal code in combination are the most customer-specific information processed.

Information provided to our customer service in connection with customer issues may be stored to provide improved customer service and experience in future contacts.

Your IP address when logging in and bidding or purchasing is stored and processed to make certain risk assessments and to prevent EQuiCIBUS or the selling party from being exposed to fraud or fraudulent behavior.

According to given consent
Your email address is only used for sending newsletters and other direct marketing if you have given your explicit consent during the registration process, and you always have the option to withdraw this consent by following an unsubscribe link included with each sent newsletter. According to the same consent, personal data such as your address is also processed so that we can send locally relevant newsletters, as well as your bidding, buying, and selling history with EQuiCIBUS, so that we can send information that we believe is of particular interest to you.

We regularly send information about ongoing, upcoming, and completed bidding processes to your email address, as well as to your designated phone number via SMS if you so choose, according to the principle of given consent. You can choose to opt out of these communications at any time by unchecking the communications that are not desired on My Pages.

Security and access to personal data
EQuiCIBUS protects your personal data through technical and organizational security measures. To prevent unauthorized access and ensure the accuracy of information, we use encryption of all registry information at rest (databases) and during transport (all traffic to and from our websites is done via HTTPS).

Employees of EQuiCIBUS have access to personal data to the extent necessary for them to perform their duties, and this varies by role and responsibility. Our principle is that no employee should have access to more information than is necessary to maintain a good level of service and to enable us to deliver according to the agreements we have entered into with you, as well as to enter into future agreements.

Collaboration partners for transport-related services have access to the personal data required to deliver according to the agreed contract.

When making payments through our website, payment information is handled only by one of our partners for online payments – the companies Ecster AB and NETS AB.

No information about payment methods, such as credit card information, is stored or processed by EQuiCIBUS.

Transfer to third countries
EQuiCIBUS and its suppliers and subcontractors only process your personal data within the EU/EEA. If the situation arises where information needs to be processed outside the EU/EEA, specific consent will be obtained from the relevant customers, unless this falls under the principle of legal obligation.

Storage period and deletion
EQuiCIBUS does not store your personal data for longer than permitted by law, practice, and industry norms, and in order to fulfill the commitments and agreements we have entered into with you as a customer.

Information you provide as part of your user account on equicibus.se is stored until:

  • You request that the account be deleted, or
  • The account has been completely inactive for 24 months.

The automatic deletion of user accounts after 24 months is preceded by an email notification one month before this date, with information on what you need to do to prevent the account from being deleted.

Please note that we continue to store the information required to fulfill our legal obligations under the Bookkeeping Act and the E-commerce Act even after your user account has been deleted. According to the principle of legitimate interest, we also retain certain information (such as name, address, email address, and IP address) about user accounts that are deemed to have been used for (and therefore blocked by EQuiCIBUS security department), bid rigging, fake bids, and other unauthorized behavior on the platform.

Your rights
EQuiCIBUS strives for all the information we process to be accurate, including the personal data we collect. If any information is found to be incorrect, it will be corrected without delay.

You have the right to access the information we process about you.

You have the right to restrict the processing of personal data and to object to the processing of individual personal data. In some cases, you have the right to have the personal data we process about you deleted.

You have the right to receive your personal data in a machine-readable format and to have the data transferred to another data controller.

If you want to access your personal data or have other questions regarding our processing of personal data, please contact us at one of the following addresses. Note that for requests for correction and extracts, we must confirm that the person making the request can be identified. EQuiCIBUS aims to automate this type of identification control, but in cases where this is not possible, the control is done manually and copies of identification documents may need to be handed over to us.
